Exhibitor Terms & Conditions

By reserving booth space, submitting payment, signing an agreement, or participating in any Elegant Wedding Expo event, you acknowledge that you have read, understood, and agree to the following Terms & Conditions.

Booth Reservations

Booth space is available on a first-come, first-served basis and is not guaranteed until payment has been received.

Submitting a reservation request or inquiry does not guarantee booth placement.

The Elegant Wedding Expo reserves the right to determine exhibitor eligibility and to accept, decline, or revoke any exhibitor registration at its sole discretion.

Payment Terms

A 25% deposit is required to reserve booth space unless otherwise stated in writing or as part of a promotional offer.

The remaining balance is due no later than two (2) weeks prior to the event, unless alternative arrangements have been approved in writing.

Monthly payment plans require automatic recurring payments.

Financing through Affirm and Klarna is available for qualifying exhibitors. Financing approval, payment schedules, interest, and terms are determined solely by the financing provider. The Elegant Wedding Expo is not responsible for financing decisions or agreements made through third-party providers.

Any returned checks are subject to a $15 returned check fee.

Failure to complete payment by the stated deadline may result in cancellation of your reservation and release of your booth space without refund.

Cancellation Policy

All booth fees, deposits, and payments are non-refundable.

If an exhibitor is unable to participate after registering, payments will not be refunded.

At the sole discretion of The Elegant Wedding Expo, payments may be transferred to another Elegant Wedding Expo event or another exhibitor opportunity. Transfer requests are not guaranteed and must be approved in writing.

Booth Usage

Exhibitors may only promote products and services offered by their own business.

Booth sharing, subleasing, assigning, or transferring booth space is prohibited without prior written approval from Show Management.

Soliciting business or distributing promotional materials outside your assigned booth space is not permitted.

The Elegant Wedding Expo reserves the right to remove any unauthorized materials or exhibitors violating this policy.

Booth Displays & Event Conduct

All displays must remain within the boundaries of the assigned booth space.

Nothing may be attached to venue walls, windows, ceilings, doors, columns, or permanent fixtures.

Exhibitors are expected to conduct themselves professionally at all times.

Show Management reserves the right to require modification or removal of any display, sound equipment, demonstration, decoration, or activity that is unsafe, disruptive, offensive, or inconsistent with the professional atmosphere of the event.

Exhibitors are responsible for complying with all applicable federal, state, and local laws, including licensing, sales tax, health, fire safety, copyright, and ADA regulations.

Any exhibitor whose conduct negatively impacts attendees, fellow exhibitors, venue staff, or the reputation of The Elegant Wedding Expo may be removed from the event without refund.

Booth Assignments

Every effort will be made to accommodate booth location requests.

However, The Elegant Wedding Expo reserves the right to modify the floor plan or relocate exhibitors when necessary for the overall success and operation of the event.

Lead List

Eligible exhibitors will receive the attendee lead list as outlined in their booth package.

Lead lists remain the exclusive property of The Elegant Wedding Expo.

Lead information may not be sold, shared, transferred, licensed, copied, or distributed to any third party.

Unauthorized use of attendee information may result in removal from future events and legal action when appropriate.

Photography & Marketing

By participating in The Elegant Wedding Expo, exhibitors grant permission for photographs and video taken during the event to be used in future marketing, advertising, websites, email campaigns, social media, and promotional materials without additional compensation.

Liability

Exhibitors participate entirely at their own risk.

The Elegant Wedding Expo, its owners, employees, volunteers, venues, sponsors, contractors, and partners shall not be liable for loss, theft, damage to property, personal injury, illness, death, or any other claims arising from participation in the event.

Exhibitors are responsible for carrying any insurance they deem appropriate for their business and property.

Force Majeure

If an event is postponed, canceled, interrupted, or modified due to circumstances beyond the reasonable control of The Elegant Wedding Expo—including but not limited to severe weather, natural disasters, venue closures, labor disputes, government restrictions, public health emergencies, acts of terrorism, utility failures, or other unforeseen events—The Elegant Wedding Expo reserves the right to reschedule the event or apply exhibitor payments toward a future event.

Promotional Pricing & Special Offers

From time to time, The Elegant Wedding Expo may offer promotional pricing, introductory rates, early registration discounts, referral incentives, loyalty offers, or other special promotions.

Unless otherwise stated in writing:

Promotional offers cannot be combined with other discounts or offers.
Promotional pricing is valid only during the stated promotional period.
Promotional pricing is not retroactive and will not be applied to previously executed contracts or completed reservations.
Promotional offers have no cash value and may not be transferred.

The Elegant Wedding Expo reserves the right, at its sole discretion, to offer promotional pricing or special incentives to selected exhibitors, exhibitor categories, specific events, or during limited promotional periods. Promotional offers do not obligate The Elegant Wedding Expo to provide the same pricing or incentives to all exhibitors.

The Elegant Wedding Expo reserves the right to modify, extend, or discontinue promotional offers at any time without prior notice.

Event Policies

The Elegant Wedding Expo reserves the right to establish and enforce reasonable rules and policies necessary for the successful operation of each event.

Failure to comply with these Terms & Conditions or event policies may result in removal from the event without refund and may affect eligibility to participate in future events.

Changes to These Terms

The Elegant Wedding Expo reserves the right to update or modify these Terms & Conditions at any time. The version in effect at the time an exhibitor reserves booth space shall govern that exhibitor’s participation.
