How to Choose a Wedding Venue When Every Venue Looks Amazing

So you’ve started looking at wedding venues…

And now you have a problem.

They’re all beautiful.

There’s the gorgeous barn. The elegant ballroom. The historic building. The modern event space. The country club. The vineyard. The venue with the giant windows. The venue with the dreamy outdoor ceremony space.

And suddenly you’re thinking:

How am I supposed to choose one?!

Choosing a wedding venue can be one of the biggest decisions you’ll ma..  and one of the hardest. Your venue affects your date, guest count, budget, vendors, timeline and even the overall feel of your wedding.

So how do you actually narrow it down?

Start with how you want the wedding to feel

Before you get too caught up in whether you like Venue A’s chandeliers more than Venue B’s barn doors, think about the experience you’re trying to create.

  • Do you want romantic and elegant?
  • Relaxed and rustic?
  • Modern and sophisticated?
  • Fun and party-focused?
  • Intimate and cozy?
  • Outdoor and laid-back?

You don’t need to have a perfectly defined wedding aesthetic. But having a general feeling in mind can help you eliminate venues that are beautiful but simply aren’t you.

Because here’s the thing:
A venue can be objectively gorgeous and still be completely wrong for your wedding.

Know your guest count

This one sounds obvious, but it’s incredibly important.

You don’t want to fall head-over-heels in love with a venue only to discover that your guest list is 75 people over its comfortable capacity.

On the other hand, putting 80 people into a space designed for 300 can leave your reception feeling much emptier than you imagined.

You don’t need an exact guest list before touring venues, but you should have a realistic estimate.

And remember: your guest count isn’t just about whether everyone can physically fit in the room.

Think about the dance floor. Tables. Buffet or food stations. Bar. DJ or band. Cake table. Gift table. Ceremony space.

You want enough room for everyone to actually enjoy themselves.

Look beyond the pretty pictures

This is where your venue tour becomes really important.

Photos can tell you what a venue looks like.

They can’t always tell you what it is like to have a wedding there.

Ask questions.

What’s included in the rental fee? Are tables and chairs included? What about linens? Is there an on-site coordinator? Can you bring in your own caterer? What are the alcohol rules? Are there noise restrictions? When can vendors arrive? When do you have to leave?

And don’t forget about the less glamorous questions.

  • Where do people park?
  • Where will you get ready?
  • Are there enough bathrooms?
  • What happens if it rains?
  • Is there heating and air conditioning?
  • Where do vendors load in?
  • Where does the wedding party actually hang out between the ceremony and reception?

Those aren’t exactly Pinterest-worthy questions but they can make a huge difference on your wedding day.

Pay attention to the location

Central Illinois couples have plenty of options, and location can be a bigger factor than you initially realize.

Think about where your guests are coming from.

Is the venue convenient for most of them? Are there nearby hotels? Is transportation available? Is it easy to find? Is there sufficient parking?

If you’re planning to have a lot of guests traveling from out of town, a venue that’s reasonably close to accommodations may make the entire weekend easier.

Your wedding is one day.

Your guests may be spending a whole weekend getting there, staying nearby and getting home.

That’s worth considering.

Think about your budget as a whole.. not just the venue price

This is a big one.

A venue that costs $5,000 isn’t necessarily cheaper than a venue that costs $7,000.

Why?

Because you need to know what you’re getting for that price.

One venue may include tables, chairs, linens, setup and cleanup.

Another might charge separately for each of those things.

One venue might have an in-house bar.

Another may require you to hire bartenders and purchase alcohol separately.

One might have an exclusive catering arrangement.

Another might let you choose from dozens of caterers.

When comparing venues, try to compare the overall wedding cost, not just the rental fee.

Trust your gut 👉 but don’t ignore the practical stuff

There is absolutely something to be said for walking into a venue and thinking:

Oh. This feels like us.

Pay attention to that.

But don’t let one gorgeous room make you forget the questions you need answered.

You can love a venue and still ask for the contract.

You can be excited and still compare the numbers.

You can fall in love with the ceremony space and still ask what happens if it rains.

Actually, that’s what good wedding planning looks like.

You don’t have to choose between your heart and your spreadsheet.

You need both.

And don’t be afraid to meet the people behind the venue

The venue itself matters.

But so does the experience you’ll have with the people running it.

  • Are they responsive?
  • Do they answer your questions?
  • Do you feel comfortable asking for clarification?
  • Do they seem organized?
  • Do they listen to what you’re actually looking for?

You’ll probably have a lot of conversations with your venue between booking and your wedding day.

Finding people you trust can make the entire planning process feel easier.

That’s okay.

You aren’t supposed to walk into your first venue tour knowing exactly what questions to ask.

That’s part of the process.

Make a list. Take notes. Take pictures. Compare your options. Talk about what you loved—and what you didn’t.
