Finding wedding vendors can feel a little like online dating.
You scroll through beautiful photos, read glowing reviews, fall in love with someone’s work… and then wonder, “How do I know if they’re actually the right fit?”
The truth is, choosing your wedding vendors is about so much more than pretty Instagram feeds. These are the people who will help shape one of the biggest days of your life, and feeling comfortable with them matters just as much as loving their work.
If you’re meeting vendors at an Elegant Wedding Expo or scheduling consultations afterward, here are a few conversations worth having.
Start by asking about their availability. It sounds obvious, but there’s no sense falling in love with someone’s work only to find out they’re already booked for your wedding date.
From there, ask them to tell you about their process. Every vendor works a little differently. Understanding what happens after you book—how communication works, when payments are due, what meetings to expect, and what they’ll need from you—can help you feel confident moving forward.
It’s also perfectly okay to ask about experience. How long have they been in business? Have they worked at your venue before? What kinds of weddings do they enjoy most?
These questions aren’t about trying to “test” anyone. They’re simply a way to get to know the people you’ll be trusting with your wedding day.
Don’t be afraid to ask what happens if something unexpected comes up, either. Life happens. Knowing your photographer has a backup plan, your DJ has extra equipment, or your florist has contingency plans can provide tremendous peace of mind.
Of course, budget matters too.
Rather than asking only, “How much do you charge?” try asking what’s included in their packages. Sometimes a slightly higher investment includes services or products that would otherwise be additional costs elsewhere. Understanding exactly what you’re receiving makes comparing vendors much easier.
As you have these conversations, pay attention to something that isn’t listed on any pricing guide.
How do they make you feel?
Do they listen?
Do they answer your questions thoughtfully?
Do you leave the conversation feeling excited instead of pressured?
Your vendor team will be with you through planning, problem-solving, and celebrating. Working with people you genuinely enjoy can make the entire experience so much more enjoyable.
One of the biggest advantages of attending an Elegant Wedding Expo is that you can have many of these conversations in a single afternoon. Instead of exchanging dozens of emails or scheduling multiple consultations, you can meet local professionals face-to-face, get a feel for their personalities, and quickly discover who feels like the best fit for your wedding.
You don’t have to make every decision that day, either.
Take notes. Collect business cards. Save your favorites. Follow them on social media. Talk it over together afterward.
Choosing your vendors isn’t about finding the “best” photographer, florist, or DJ. It’s about finding the team that’s the best fit for your vision, your personalities, and the celebration you’re creating.
When you find those people, wedding planning starts feeling a lot less stressful—and a whole lot more exciting.
